Office Administrator - Scheduling & Estimates (Landscape Installation/Design & Holiday Decorating/Lighting Office) - San Antonio (NW/Helotes)
Local landscaping company is hiring an Office Administrator (Scheduling & Estimates) to handle phones/inbox, pre-qualify projects, schedule estimates, send quotes in Square, and keep everything moving smoothly.
What you'll do
- Answer calls/messages and quickly identify the customer’s issue
- Pre-qualify: confirm fit, spot red flags, decide when to send a preliminary estimate
- Create & send estimates in Square; convert approved estimates to invoices
- Schedule on-site estimates in Google Calendar and send confirmations/reminders
- Track follow-ups and nudge open estimates to a decision
- Keep clean notes so the field team arrives prepared
- Light office support + occasional social media/marketing and promotional tasks
- (Optional/Seasonal) Help coordinate holiday-lighting schedules in winter
You bring
- Warm, professional phone and writing skills
- Strong organization and follow-through when it’s busy
- Good judgment about scope, budget, and red-flag situations
- Comfort with Google Workspace/Calendar; quick to learn Square
- Home-services/dispatch/scheduling background is a plus (we train on specifics)

Schedule & pay
Hours: Mon–Fri, business hours (some flexibility)
Pay: $16–$20/hr DOE + monthly performance bonus
Ramp path available: $14–$15/hr for 2–4 weeks with automatic raises once benchmarks are met
