Position Overview:
The Executive Assistant provides high-level professional and personal support to a busy executive/ writer/ producer/ speaker. This role requires exceptional organization, attention to detail, adaptability, and discretion. The ideal candidate is comfortable shifting between strategic, big-picture planning and detailed, day-to-day execution, while supporting multiple projects and initiatives in a regularly evolving environment.
This position blends administrative, executive, personal, and light production support and requires someone who is proactive, tech-savvy, and responsive/ calm throughout change and shifting priorities.
Core Responsibilities:
1. Executive & Administrative Support
• Manage scheduling, calendars, meetings, travel and deadlines
• Take detailed meeting notes and ensure timely follow-up
• Draft, proofread, and format professional correspondence and documents
• Handle verbal and written communications, emails, forms, and phone calls
• Maintain digital filing systems, records, and office organization
• Data entry, document management, and CRM/database maintenance
• Basic bookkeeping and expense tracking (QuickBooks preferred)
• Creation and maintenance of Excel/ Numbers spreadsheets for data analysis
2. Project & Task Management
• Track multiple projects, priorities, and deadlines simultaneously
• Support both high-level initiatives and routine operational tasks
• Help creative & scientific teams stay focused and organized
• Identify potential issues and proactively bring them to leadership’s attention
3. Personal Assistance
• Coordinate personal appointments, errands, paperwork, and logistics
• Run business and personal errands as needed
• Balance short-term urgency with long-term planning
• Occasional help with meal preparation/ batch cooking and driving
4. Events, Training, & Production Support
• Support Zoom meetings, webinars, and online trainings
• Assist with event planning and execution, including setup, breakdown, and onsite support
• Transport supplies and equipment to events (must be able to lift up to 60 lbs)
• Assist with location scouting and venue coordination
• Possible assistance during filming, teaching, speaking or production days
5. Research & Communications
• Conduct internet and library research
• Manage contact lists, e-newsletters, and promotional communications
• Assist with social media campaigns and digital outreach
Compensation estimates:
• For errand runners doing limited administrative work and/ or requiring training and supervision: $10-12/hour
• For persons skilled in video editing, graphic design, and social media $18-20/hour
• For persons able to assume an experienced EA role and operate with a high degree of independence and little to no training: $25-35/ hour
• Performance-based rate increases are possible after 6 months of successful performance, contingent on consistent demonstration of skill and reliability
• This is an independent contractor role to start, with the potential for part or full time employment. You will be responsible for all taxes as an independent contractor.
