We are seeking a highly organized Operations & Administrative Associate to support two growing small businesses. This role is ideal for someone who enjoys creating order, managing systems, and keeping operations running smoothly.
You will work directly with the owner to help manage administrative tasks, customer communication, and operational workflows.
This is a remote contractor position with flexible hours. Overlap with Eastern Time is preferred.
What You'll Be Responsible For
1. Operations Support
Managing customer and vendor communication
Tracking orders, invoices, and operational tasks
Coordinating shipping and logistics
Maintaining operational documentation
2. Administrative Support
Data entry and record management
Calendar coordination and scheduling
Managing shared inboxes
3. Finance Support
- Assisting with Accounts Receivable and Accounts Payable
- Recording invoices and payments in QuickBooks
- Tracking outstanding invoices
4. Systems & CRM
- Maintaining CRM and customer records
- Updating operational spreadsheets
- Ensuring accurate data across systems
5. Vendor Coordination
- Communicating with vendors and service providers
- Tracking deliverables and follow-ups
Qualifications
Strong candidates typically have:
2+ years experience in administrative, operations, or office management roles
Experience with QuickBooks or bookkeeping support
Strong organizational and communication skills
High attention to detail
Comfortable working independently in a remote environment
Familiarity with Google Workspace, spreadsheets, and CRM systems
Hours
30-40 hours per week
